Job Description

Currently we require Executive Secretary for MD of a company dealing in power genset with turnover of more than 500 crores.

Job Location: Delhi/ NCR

Job Description:

Handling personal correspondence.
Handling personal bank accounts & all bank related transactions and documentation.
Arranging and scheduling appointments for the executives.
Pre paring itineraries for the MDs business and personal tours.
Booking train and air tickets and making various other arrangements with the travel agents over telephone and personal contacts for the MD.
Processing of Passports, Visas, Foreign Exchange with foreign exchange bureaus and travel related arrangement for the MD.
Keeping a record of all domestic and overseas travels for annual travel assessment and preparing Travel Expense Sheet for the MD on return from travel for voucher clearance.
Trac king Frequent Flyer Mileage records and statements.
Han dling all incoming and outgoing calls and taking down messages.
Handl ing independent correspondence and editing prepared correspondence according to the subject matter of varied topics like legal, all kinds of agreements, appointment letters, circulars, etc.
Handling Insurance related correspondence, various insurance policies of the company; arranging and coordinating insurance related meetings and presentations to all.

ii. Ability to communicate effectively, both orally and in writing.
iii. Must be highly dependable with the ability to foresee potential situations, and solve problems through self-initiative.
iv. Proactive person, with ability to make administrative/ procedural decisions and judgments.
v. Ability to supervise and train assigned administrative staff.
vi. Good computer knowledge in MS Office (Word, Excel & PowerPoint). Ability to process computer data and to format and generate reports.
vii. Must know typing.

Preferred Skills:
i. Knowledge of human resources concepts, practices, policies and procedures. Shorthand skills.
