Secretarial Functions
Provision of administrative & secretarial support involving handling of top & confidential correspondence, document flow, screening telephone calls, attending visitors and directing various queries to relevant departments
Scheduling of appointments, organization of travel, accommodation and conference/ presentation/ event arrangements
Organizing various meetings including preparation of supporting material & carrying out routine functions including taking down the Agenda
Managing documentation with respect to various activities such as commercial, production, purchase, legal matters etc
Warehouse/ Distribution Management
Implementing key procurement strategies for material; purchase, schedules and ensuring that these strategies and schedules are aligned with organizational objectives
Negotiating & preparing proposal for finalizing of orders and handling its execution
Managing and maintaining optimum level of inventory to avoid Non-availability of material and equipment
Maintaining inventory without any variance by coordinating with warehouse in respect of stock verification, storage condition, receipts, issues, and shortages
Identifying non-moving FOC inventories and segregating for easy access of moving inventory
Logistics functions inclusive of planning of material, supply chain management, controlling obsolete inventory, disposals of surplus stocks etc
Liaising with suppliers/ transporters, for ensuring smooth operations, systems and procedures for distribution and logistics
Negotiating with Forwarders, transporters, agents, etc. to achieve seamless and cost-effective movement of shipments, ensuring timely deliveries
Speedy and cost effective dispatch of goods
Preparing MIS and obtaining client departments approval before submission to Accounts
