1. Performs a variety of task that is confidential and sensitive.
2. Researches, compiles, and assimilate and prepares sensitive documents.
3. As a Liaison between the executive and subordinates or others, transmit directives instructions and assignments and follow up on status of the assignments.
4. Responsible to receive in coming and outgoing documents.
5. Independent management of office routine secretarial function such as correspondence, minutes of meeting and agreements.
6. Handling and making reservations.
7. Assist the General Manager in his daily work activities.
8. Takes and transcribe dictation on technical and confidential matters from the executive as required.
9. Responsible for controlling documentation.
10. Responsible to register internal and external documents.
11. Compose letters and memoranda in response to incoming mails or calls and other office matters
12. Maintain document control registers/ documents for incoming and outgoing project documents.
13. Expedite responses to transmittals sent for review/ comments.
14. Manage the electronic and hard copy filing of the related technical documentation.
15. Responsible of handling incoming and outgoing calls.
16. Responsible in sending and receiving of documents to concern persons.
17. Forwarding complaints/ claims of associates to the manager.
18. Make all the necessary documents needed by the immediate superior.
19. Make invoices, payment certificates and petty cash.
20. Collating information for management reports, diary and email management, coordinating internal and external meetings.
21. Responsible for arranging meeting packs, maintaining office filing systems, typing letters, preparing excel spreadsheet reports and PowerPoint presentation.
22. Managing all incoming and outgoing correspondence and liaising with high profile clients.
23. As a liaison between the executive and subordinates, transmit directives, instructions and assignments and follow up on status of the assignments.
24. Review, proof-read, and edit documents prepared for the Managers signature.
25. Take and transcribe dictation on technical and confidential matters from the executives.
